If you already have a list of customers or contacts, you can upload them to Upfirst via CSV. Once imported, your receptionist will recognize returning callers by their phone number and skip questions you already have answers to, like name and email.
You can also include notes about each contact so the receptionist knows how to handle special callers.
How to import your contacts
1. Prepare your CSV
Create a spreadsheet with columns for the contact fields you want to import. The standard fields are: Full name, Phone number, Email, Address, Company name, Website, and Notes.
You can download a sample spreadsheet to see the expected format.
The preferred phone number format is E.164, e.g. +14155552671. Other formats are accepted, but E.164 is the most reliable for matching.
2. Go to Contacts
Click Contacts on the left-hand side of your Upfirst dashboard.
3. Click Import CSV
Click Import CSV at the top of the Contacts page and select your file.
4. Map your fields
Match each column in your spreadsheet to the corresponding Upfirst contact field (Full name, Phone number, Email, Address, Company name, Website, etc.). If you have custom fields, you can map those too.
5. Click Done
Click Done to complete the upload. Your contacts will appear in the Contacts list.
Tips for getting more out of your import
Use the Notes column to include information you want the receptionist to know about a caller. For example: "This customer prefers to speak Spanish" or "This is a judge, always transfer the call directly to me after greeting them." You can update or edit Notes at anytime when you click on a contact's details.
Create custom fields under Settings > Custom fields if you want to map information beyond the standard fields (Name, Phone, Email, Website, Address, Company Name).
Things to know
Phone number is the primary key. Contacts in your CSV without a phone number will be skipped.
If a contact's phone number in your CSV matches one already in your Upfirst account, their info will be overwritten with the data from the CSV.
Other phone number formats are accepted, but E.164 (+14155552671) is preferred for the most reliable matching.
