How to adjust your receptionist's responsiveness

Control how quickly your receptionist decides a caller has finished speaking and replies.

Written by Alfredo Salkeld

Responsiveness controls how quickly your receptionist decides a caller has finished speaking and replies.

Your receptionist listens to what a caller is actually saying, not just when they go quiet, so it can tell the difference between a real pause and a finished thought.

Responsiveness tunes how patient it is before it jumps in.

Where to find it

Go to Agent > Agent Settings in the left-hand menu and find Responsiveness. Pick a setting, then click Save settings at the bottom of the page.

The four settings

  • Auto (recommended). A balanced default that works well for most businesses. Start here.

  • Low. Your receptionist waits a little longer before replying. This is best when callers often pause, think mid-sentence, or read out long details like addresses, order numbers, or spellings. You get fewer interruptions, with slightly longer pauses before the receptionist responds.

  • Medium. A middle ground between Low and High.

  • High. Your receptionist replies faster, so conversations feel snappier. This is best if your receptionist feels slow to jump in. The tradeoff is that it may occasionally start talking before a caller who pauses a lot has finished.

How to choose the right setting

Most businesses can leave this on Auto. If you want to fine-tune it, use these as a guide:

  • If your receptionist talks over callers or cuts them off, move toward Low.

  • If your receptionist feels slow to respond or leaves long pauses, move toward High.

After you change the setting, place a few test calls and listen back to the recordings. That's the fastest way to find what feels right for your callers.
