How to connect multiple Google Calendars to Upfirst

Want your Upfirst agent to book appointments to a Google Calendar of someone on your team, too?

In this article, we’ll show you how to connect multiple Google Calendars to your Upfirst agent. Connecting multiple Google Calendars is useful if you have a team that runs on independent calendars.

At the moment, Upfirst can only integrate with one Google Calendar at a time, but this easy method lets your agent see available times and add appointments into another calendar from someone on your team.

Let’s get started.

1. Go to your main team’s calendar.

Go to the Google Calendar that you are integrating with Upfirst. This is the main Google Calendar your team’s calendars will give access to. It could be a general team calendar or your own calendar.

2. Go to Settings

On the top middle-right side, there is a Settings icon. Click on this icon and go to your Google Calendar’s settings.

3. Open ‘Add calendar’ and click ‘Subscribe to calendar’

On the left side under ‘General’ settings, there is a tab to ‘Add a calendar’. Click on ‘Add a calendar’, and then select ‘Subscribe to calendar’.

4. Add the Gmail of the team member to request access

On the ‘Subscribe to calendar’ page, enter in the Gmail(s) of the person’s calendar you want to integrate with Upfirst. This action requests access from the recipient to manage and modify events on their calendar.

5. Accept the invitation

The rest of the steps are completed by the person or team member you would like to add. They will receive an email to allow access. To accept the request, click the link.

6. Allow the right permissions

After clicking the link, they’ll be taken to their Settings. On the pop-up, click on ‘Permissions’ and make sure to select ‘Make changes and manage sharing’.

It’s important to note that this MUST be the permissions selected, or else the main Google Calendar will not be able to fully access the other person’s calendar, meaning your Upfirst agent will not be able to book appointments into their calendar.

If the permissions are correctly set, the other team member’s calendar will show up in the main Google Calendar under ‘My calendars’ on the left hand side.

If given the incorrect permissions, their calendar will show up under ‘Other calendars’.

If your team member saved the wrong permissions after accepting the invitation, they can edit it at any time by going to Google Calendar settings > Settings for my calendar > Shared with.

7. Add a new appointment type for your team members

We made it! Your Upfirst agent is now able to see your team member’s availability and book appointments directly into their calendar.

Create a new appointment type to let your agent book appointments for them in their Google Calendar.
