The Scheduling feature lets you connect Google Calendar with your Upfirst receptionist. By connecting your Google Calendar, your receptionist can see your available time slots, offer those times to callers, and book appointments directly into your calendar.
Begin by watching the introductory video, which provides a comprehensive overview of how to use the Scheduling feature and connect Google Calendar.
1. Click 'Integrations' on the left-hand side to get started
Begin by navigating to the 'Integrations' page on the left-hand side menu to connect your Google calendar.
2. Enable Google Calendar
Look for the 'Enable' button for Google Calendar integration and click on Enable. Proceed through the Google account sign-in process and ensure that you grant the necessary access permissions.
3. Go to Agent > Scheduling to add appointment rules
Once your Google Calendar is connected, proceed to the Agent section and navigate to the 'Scheduling' page.
4. Click 'Add appointment type'
Click 'Add appointment type' to set up an appointment. You can add any different appointment types for your business (e.g. 15-minute introductory calls or 30-minute consultations).
5. Add your appointment name and details
Fill out all the fields to complete your appointment rules. Choose a name for the appointment and the calendar you want to book appointments to.
Then, set a duration for the appointment and select any buffer times, if necessary.
6. Add your availability
Set your available hours and toggle off any days you're not available. You can also block out certain times of the day that you are not available, such as your lunch hour.
To block out a certain time frame, click the "+" button, and then set your time frame.
7. Add event details
Add 'event details' for the appointment type. This will appear in the calendar invite as the event description.
8. Add additional instructions for your receptionist
To finish adding your appointment, input additional instructions for your receptionist. These are explicit instructions that tell the receptionist when the appointment should be offered to the caller.
Example: "Only offer this appointment to the caller if they're interested in booking a consultation."
9. Create appointment type
Double check that your appointment details are accurate. Then, click 'Create appointment type'.
10. Your receptionist is now ready to book appointments
Congratulations! Your AI virtual receptionist is now able to scan your calendar for your availability, offer times to your callers, and book appointments directly in your calendar.
Extra notes: Please know that this feature is only for creating new appointments. Rescheduling is on our roadmap. Integrations for other calendar tools like Microsoft Outlook are also coming soon.
