How to use the "send texts" feature

The Send Texts feature lets you customize text messages that your receptionist can send to callers, such as scheduling links to your calendar or links to your pricing info. It's great for letting callers book appointments with you or sending them additional information.

Begin by watching the introductory video, which provides a comprehensive overview of how to use the Send Texts feature.

1. Go to Agent > Send Texts

To begin, navigate to the 'Agent' section on the left-hand sidebar and scroll down to 'Send Texts'.

2. Click "Add text message" to get started

Click on 'Add Text Message' to initiate the process. Next, you will have the option to 'Send SMS' or 'Send a Scheduling Link'.

Let's start with the 'Scheduling Link'. Enter a recognizable title name that you can easily identify and customize as needed.

3. Customize your text message

For instance, if you wish to send a Calendly link for a 30-minute call, you might type "30-minute call".

Then, customize the text message the caller will receive. You can follow the pre-existing field or create your own message.

You might use something like: "To schedule your appointment, please book a time slot here," followed by your Calendly link.

4. Set conditional instructions for your receptionist

In the 'Additional Instructions' field, this is where you input directions for your receptionist on when it should send this text message.

For example, you might say "Send this message if the caller is interested in booking an appointment.".

5. Click "Add message" to finish

Add the message and it will be added to your receptionist's instructions. You have the flexibility to toggle this feature on or off as needed and add more text messages.

6. Add other text messages

For instance, if you want to send links to your pricing page, click 'Add Text Message' and choose 'Send SMS'. Enter a recognizable title for easy future edits.

In this case, label it "Pricing info" and include a message like "You can view our pricing plans on this page here." Again, set the conditional instructions for your AI receptionist.

You might say something like: "Send this message to callers if they would like to see more information about our pricing."

7. Place a test call and see it in action

Make a test call and see how it works! Continue making tweaks to your text message until it's just right.

Note: Use your phone to call your receptionist and test the Send Texts feature. Using the "Test Call" button won't send texts since it won't be calling from an actual caller ID.
